What personal data does the Club collect?
The data we collect is members’ names, email addresses, home and mobile phone numbers. We collect this data directly from our members. We will also collect the score cards after games and these will be used to gather information for various league tables displayed on the notice board within the club.
What is the personal data used for?
We use members’ data for contacting to arrange games, and the communication of information, such as cancellation of games, social events, etc. and managing the member’s membership of the Club.
Who is your data shared with?
The data we collect is mainly shared with Club members. We will never sell your personal data. We will not share your personal data with any third parties, other than Club members, without your prior consent (which you are free to withhold) except where we are required to do so by law and to County, District and other bowling associations for the purposes of registration of Members with those associations and entering members in County, District and other external bowling competitions.
Where does this data come from?
Data for most of the members comes from them when they join the Club or when they update their information. Scoring data comes directly from the results of the Club games in which you play.
How is your data stored?
This information is stored in digital form on computers and in the form of written documents which will be distributed to each member at the start of every new year and when updated.
Who is responsible for ensuring compliance with the relevant laws and regulations?
Under the GDPR (General Data Protection Regulation) we do not have a statutory requirement to have a Data Protection Officer. For the purposes of the GDPR, we will be the “controller” of all personal data we hold about you.
Who has access to the data?
Members of the club will have access to members ‘data for them to carry out their legitimate tasks for the club.
What is the legal basis for collecting this data?
The club collects personal data that is necessary for the purposes of its legitimate interest as a membership organisation and participant in an internationally recognised and regulated, competitive played sport. For some data, such as that relating to financial matters, the basis for its collection and retention is to comply with our legal obligations.
How you can check what data we have about you?
A Club member may request either a hard copy of the membership list (or just the part concerning them) or an electronic copy by contacting an appropriate Officer of the Club (as defined in the Club constitution).
Does the club collect any “special” data?
The GDPR refers to sensitive personal data as “special categories of personal data”. We do not record such personal data. Of these categories, the only data we may record relates to the disabilities of a member who have explicitly requested it to be recorded for the purpose of giving them assistance should they require it. If you wish to change this data on your record at any time this can be done by contacting an appropriate Officer of the Club.
How can you ask for data to be removed, limited or corrected?
There are various ways in which you can limit how your data is used. 1. You could maintain your Club membership with your correct name but with limited contact details however, we do need to have at least one method of contacting you. You could for example simply maintain an up to date email address. This would limit how the club is able to make contact with you, so we would not be able to contact you quickly in the event of a match being cancelled. 2. You may choose not to appear on any results displayed in the club. 3. You may choose not to receive information emails from the club. 4. Any of these options can be implemented for your Club membership by contacting an appropriate Officer of the Club.
How long will we keep your data for, and why?
We normally keep members‘ data after they resign or their membership lapses in case they later wish to re-join. However, we will delete any former member’s contact details entirely on written request.
What happens if a member dies?
We normally keep members information after they die, for a respectful period, after which it will be deleted.
Can you download your data to use it elsewhere?
The data collected by the Club is solely for use by the Club and its members and will not be made available to be down loaded for any purpose by an individual member.
